Registration of promotional actions

Who can register a promotional action?

Registration of actions promoting sustainable urban mobility is open to groups of people, NGOs, social partners, research/teaching institutions, local/national authorities, public institutions, or public/private companies.

How do I know if I have been selected?

Once you have filled in all the necessary elements online we’ll look over your application. If everything is in order and your promotional action conforms to the eligibility and evaluation criteria of the European Commission’s Sustainable Urban Mobility campaign, then within three weeks of submitting your application we will let you know that your action has been officially accepted.

What are the benefits for us and/or our organisation?

First and foremost, we want to help you to share your successes with the wider world, so your promotional action will not only be part of a much larger campaign, but also visible on our campaign map for all website visitors to see.

If your promotional action is selected, you will be allowed to include the European Commission logo, accompanied by the words ‘Participating in the European Commission’s Sustainable Urban Mobility campaign’, on your webpage and social media pages. Further details are specified in the ‘Toolkit for Campaign Participants’ that will be sent to all successful candidates.

If you are a non-commercial enterprise – i.e. an organisation such as an NGO, a local authority, a public body, or a school/university/research institute – you can also apply for up to EUR 7 000 of funding for your promotional action. Please see the ‘Apply for funding’ FAQs for further details.

Applying for funding

Who can apply for funding?

Only non-commercial enterprises, in other words organisations such as NGOs, local authorities, public bodies, schools/universities/research institutes can apply for funding. You will have to provide digital scans of official documents attesting to the legal status of your organisation (e.g. scanned statutes, pages from official journals, a copy of the resolution, law, decree, decision or any other official document establishing your organisation as a public organisation etc.). Please ensure that these documents make mention of the non-profit character of your organisation according to its legal status.

How can I improve my chances of being selected?

The principal aim of the European Commission’s Sustainable Urban Mobility campaign fund is to financially support promotional activities that have the potential to make – or continue to make – a significant impact at the local, regional and/or national or even EU level. Therefore, you should demonstrate that your initiative has clear and realistic targets, that it is run by a well-structured and coherent team or partnership, and that a sufficiently significant impact is reasonably expected.

In addition, it is important to establish clear links with the European Commission’s Sustainable Urban Mobility campaign, which aims to promote a new and more sustainable urban mobility culture. Moreover, applications should show links with the European Mobility Week or with other relevant EU policies and objectives in the field of transport, energy, and climate.

In case your promotional activity will be organised in the scope of EMW 2013, it needs to establish a clear reference to this year's theme of "Clean air - it's your move!".

Finally, make sure that the requested amount of co-financing is in line with the proposed activity; forecast costs should be relevant, identifiable, and verifiable.

What costs does the funding cover?

The requested funding amount can, for example, be invested in promotional materials, advertisement, involvement of event organisers, prizes for competitions, equipment rental, gifts to reward sustainable transport users, etc.

Funding cannot be used to finance staff costs and overheads.

Money should be spent on communication and promotion only, and not equipment.

The funding awarded will only be transferred after the promotional action has taken place. Reimbursement will only be possible if official receipts (including company information, a reference number, VAT number, date, and all relevant details regarding the purchase) are presented for all purchases. Receipts for items/services below the amount of EUR 100 will not be considered.

When should promotional actions take place in order to qualify for funding?

For the second round of funding applications in 2013, only campaign actions that take place between 1 July 2013 and 30 June 2014 are eligible for funding. Actions can be linked to other European campaigns such as European Mobility Week or Sustainable Energy Week or to relevant campaigns at the national or regional level. Promotional actions can be limited to a specific day or last for several weeks/months; they can be one-off events or recurring activities.

I registered my promotional action before the opening of the call. Do I need to register again to apply for funding?

No, you can update and modify the information you have already submitted. Clicking the ‘I would like to apply for a grant’ button will activate a number of additional fields that you will need to complete.

I have received confirmation that my application was successful. What are the next steps?

You can now start preparing to launch your promotional action. Once your action has taken place, you will have one month to submit a report, together with the original official invoices and receipts (including company information, a reference number, VAT number, date, and all relevant details regarding the purchase). Remember to keep copies of invoices!

I have submitted my application but I would like to make some changes. Is this still possible?

Unfortunately it is not possible to make further changes once an application has been submitted.

Am I expected to incorporate the ‘Do The Right Mix’ logo and visual identity in my communication and promotional materials?

If your promotional action is selected for funding, you will be allowed to include the European Commission logo, accompanied by the words ‘Supported by the European Commission’s Sustainable Urban Mobility campaign’ and the 'Do the Right Mix' signature on your webpage and social media pages. as specified in the ‘Toolkit for Supported Actions’ that will be sent to successful candidates.
